Hiring an event planner in Lahore? The 12 questions to ask first, how fees work, what the contract should cover and the warning signs to watch for.

Search for an event planner in Lahore and you'll find a long list of names: wedding planners, decorators, production companies, marketing agencies and freelancers, all using the same words. They don't all do the same job, and the difference usually only shows up on the day of the event. This guide explains who does what, the questions to ask before you hire anyone, how fees normally work and what belongs in the contract.

What does an event planner in Lahore actually do?

An event planner takes your objective, guest list and budget and turns them into a plan: venue, suppliers, schedule, responsibilities and a budget you can track. A full-service planner then manages all of that through to the event itself, so you have one point of contact instead of a dozen suppliers.

The titles overlap, so judge a company by what it will take responsibility for, not by what it calls itself.

12 questions to ask before you hire an event planner

Experience

  1. Have you run an event like ours, at this size? A 100-guest dinner and a 1,000-guest conference need different skills. Ask for a similar example and a client you can speak to.

  2. Can we see photos and a run-of-show from a past event? Photos show how it looked. A run-of-show shows how it was managed.

  3. Which venues do you know well? Ask what they would recommend for your guest count and why, and whether they receive anything from the venue for recommending it.

People

  1. Who will be on site on the day, by name? Make sure the person you meet in the sales conversation isn't replaced by someone you've never met. There should be one clear lead, since two coordinators giving different instructions causes confusion.

  2. What is in-house and what is subcontracted? Subcontracting is normal. What matters is who is accountable when a supplier is late.

  3. How do you choose and manage suppliers? A good answer describes written scopes, arrival times and a named contact for each one.

Risk

  1. What happens if the power fails? Listen for specifics: generator capacity, what it covers and who is watching it.

  2. What is your plan for rain, smog or a late change of date? Outdoor events in Lahore need a covered or indoor fallback.

  3. Will you run a technical rehearsal? If the answer is "we'll check it on the day", presentations, mics and lighting cues will be tested in front of your guests.

Money

  1. How do you charge? See the fee models below, and ask for the quote as line items.

  2. Do you add a markup on suppliers? It's a fair practice when disclosed. It becomes a problem when it's hidden inside a single package price.

  3. What is the deposit, and what happens if we cancel or postpone? Get the payment schedule and the cancellation terms in writing before you pay anything.

How event planners charge

There's no published standard rate for event planners in Lahore, and prices vary widely with scope, so a price from a website rarely tells you much. Most quotes follow one of these models:

  • Flat fee: one price for the planner's work, with suppliers paid separately. Easy to compare.

  • Percentage of budget: the fee grows with the budget, so ask what happens when costs rise.

  • Per-head package: common for weddings and dinners, usually including venue and catering. Ask exactly what's in it.

  • All-in package: one figure for everything. Simple, but hard to compare unless it's broken into lines.

The most useful thing you can do is give every company the same brief and ask for a line-item quote. It turns a confusing comparison into a simple one, and shows you which company has left something out.

What the contract should cover

  • The exact scope of work, including what is not included

  • Event date, venue, guest count and the name of the on-site lead

  • Itemised costs, taxes and how extra charges are approved

  • Deposit and payment schedule

  • Cancellation, postponement and refund terms

  • Who holds the supplier contracts and who pays them

  • Travel and accommodation costs for events outside the city

Warning signs

  • A price before they've asked about your guest count, date or venue.

  • One total with no breakdown, and reluctance to provide one.

  • No written agreement, or a request for full payment up front.

  • Only décor photos, with no way to show how an event was actually run.

  • Nobody can tell you who will be in charge on the day.

Frequently asked questions

How much does an event planner cost in Lahore?

It depends on the scope, guest count and how much of the work you hand over, so treat any single figure with caution. Share one brief with two or three companies and compare line-item quotes.

How early should we hire an event planner?

Six to eight weeks is comfortable for most corporate events, as our corporate event planning timeline shows. Weddings, large conferences and dates between October and March need longer, because venues and crews book up early. Our guide to choosing an event venue in Lahore covers that first booking.

Is an event planner different from an event manager?

The terms are often used interchangeably in Pakistan. Where there's a difference, planning covers the preparation and management covers running the event on the day. Ask for both if you want one team to take responsibility from start to finish.

Can a Lahore event planner run events in other cities?

Many can. Ask how they handle local suppliers and crew travel, and who pays those costs. We run events across Pakistan from Lahore, with destination events on request.
