How to Choose an Event Venue in Lahore: A Practical Guide

5 min read

How to choose an event venue in Lahore: hotels, halls, expo centres and farmhouses compared, the questions to ask on a site visit, and what to check before you sign.

The venue decides more about an event than any other booking. It sets the date, the budget, the guest experience and what the production team can and can't do. Lahore has every kind of venue, from five-star ballrooms on the Mall to convention halls in Johar Town and farmhouses on the city's edge, so the challenge isn't finding one. It's finding the one that fits. This guide walks through how to choose an event venue in Lahore, what to ask on a site visit and what to check before you sign.

Start with the brief, not the venue

Before you visit anywhere, write down four things. They'll rule out most venues in minutes.

  • Guests: the number you expect, and the number you'd need to fit if every invitee came.

  • Format: seated dinner, conference, exhibition, cocktail reception or a mix that changes during the evening.

  • Date and time: including setup the day before, if your production needs it.

  • Budget: what's available for the venue and food together, since most venues sell them as one per-head package.

The main types of event venue in Lahore

Venue type

Works well for

Watch out for

Five-star hotel ballrooms

Gala dinners, conferences, launches, award nights; in-house catering, AV and rooms for travelling guests

Rules on outside suppliers, fixed menus, busy dates in season

Convention and exhibition centres, such as Expo Centre Lahore

Trade shows, expos and large conferences that need open floor space

You bring almost everything: stage, décor, catering, furniture and signage

Banquet halls and marquees

Weddings and large social events, with catering included

Wedding timing and menu rules, limited production infrastructure

Farmhouses and outdoor spaces

Mehndis, open-air dinners, brand activations, team days

Power, weather, smog in winter, washrooms, permissions and travel time

Restaurants, rooftops and clubs

Small launches, client dinners and private celebrations

Space for staging, sound limits, sharing the venue with other diners

Auditoriums and university halls

Seminars, talks and training with fixed theatre seating

Booking procedures, limited catering and decoration options

Capacity: ask for your layout, not the maximum

A venue's headline capacity is usually its standing or theatre number. The same room holds far fewer guests at round dinner tables, and fewer again once you add a stage, an LED wall, a buffet line and a dance floor. Ask the venue for a floor plan drawn in your layout, with the stage and buffet in place, and check there is still room for guests to move and for service staff to get through.

Questions to ask on the site visit

Visit at the same time of day as your event, so you see the traffic, light and parking as your guests will.

Power and production

  • What does the generator cover (lights, air conditioning, stage power), and who pays for its fuel?

  • What is the ceiling height, and can equipment be rigged from it?

  • When can suppliers load in, through which entrance, and is there a lift for heavy equipment?

  • Is there in-house sound and projection, and are we allowed to bring our own production team?

Guests

  • How many cars can park, and is there valet or a drop-off point?

  • Is there step-free access, and where are the washrooms and the prayer area?

  • Can VIPs or speakers arrive through a separate entrance?

  • Is there Wi-Fi strong enough for registration, livestreaming or a full room of guests?

Rules and money

  • What time must the event end, and are there sound limits?

  • Must we use the venue's caterer, decorator or AV supplier, and what is the fee if we don't?

  • What does the package include: furniture, linen, stage, staff, taxes and service charges?

  • What are the deposit, payment schedule, cancellation and postponement terms?

  • Does any other event share the venue on the same day?

Location and travel time

Lahore's traffic can turn a short distance into a long drive in the evening. Choose a venue close to where most guests live or work, or near their hotels if they're travelling. Check the route at the time guests will arrive, and plan drivers, shuttles or valet accordingly. Venues on the city's edge give you space and privacy, but add travel time at both ends of the night.

Season, smog and timing rules

  • Season: the cooler months, roughly October to March, are the busiest for events and weddings in Lahore, so the best venues book early.

  • Smog: late autumn and winter often bring heavy smog, which can affect visibility and air quality. For outdoor events in those months, have an indoor or covered plan ready.

  • Weddings: under the Punjab Marriage Functions Act 2016, wedding functions at public venues must end by 10 pm and serve only one dish. Our Pakistani wedding planning checklist covers this in more detail.

  • Government notifications: venue and business timings in Punjab are sometimes changed by notification, so confirm the timings that apply on your date when you book.

Permissions for outdoor and public events

Large outdoor events and public gatherings may need permission from the district administration, in consultation with the police, with conditions on security, emergency exits, sound and traffic. Ask the venue which permissions it already holds, which ones your event needs, and who is responsible for applying. Start early: conditions often affect your layout and timings.

Before you sign

  • Floor plan agreed in your layout, with the stage and buffet drawn in

  • Generator coverage and fuel cost in writing

  • Load-in times and supplier rules confirmed

  • End time and sound limits confirmed for your date

  • Full price, taxes and service charges listed

  • Cancellation and postponement terms read and agreed

  • Permissions for outdoor or public events assigned to someone

Frequently asked questions

How far in advance should we book an event venue in Lahore?

For corporate events, six to eight weeks is often enough outside the busy season. For dates between October and March, weddings and large conferences, start three to six months ahead.

Is a hotel or a hall better for a corporate event?

Hotels suit events that need polished service, reliable AV and rooms for guests. Halls and convention centres give more space and freedom for big production or exhibitions, but you bring more of the setup yourself.

Can an event company find the venue for us?

Yes. An event company that books venues regularly knows which ones fit your format, which dates are realistic and what to negotiate. Our venue sourcing service shortlists and visits venues against your brief and handles the booking.

Looking for a venue? Send us your brief with the date, guest count and format, and we'll come back with venues that fit.
